Getting Started
Transfering course materials from Toolkit to UVaCollab involves several steps:
- Step 1: Log Into UVaCollab (If You Never Have Before)
- Step 2: Create Your Course Site in UVaCollab
- Step 3: Migrate Materials from Toolkit to My Workspace in UVaColalb
- Step 4: Copy/Move Materials from My Workspace to Your Course Site in UVaCollab
- Step 5: Navigate to Your UVaCollab Course Site
Important Notes
When migrating materials from Toolkit to UVaCollab, it's important to know that:
- Only Toolkit materials are transferable to UVaCollab. Other course items—such as discussion topics, assignments, quizzes, etc.—must be recreated in your UVaCollab course site(s).
- Your My Workspace Resources in UVaCollab is the initial repository for migrated or scanned materials. From your My Workspace Resources, you will then copy or move transferred materials into your course site(s) as needed.
Step 1: Log Into UVaCollab (If You Never Have Before)
If you already have logged into Collab before, you may skip down to Step 2 now.- If you’ve never logged into UVaCollab before, use a Web browser to go to UVaCollab.
- On a PC? We recommend you use Firefox or Internet Explorer.
- On a Mac? We recommend Firefox, not Safari.
- Click the UVa Login button, found in the upper right-hand corner of the UVaCollab home Gateway page.
- Log in through NetBadge with your UVa computing ID and password. You will then see your UVaCollab My Workspace site.
- Select Resources in the My Workspace menubar.
This will ensure the existence of your top-level folder.
- Now that you’ve successfully logged into UVaCollab and “touched” the Resources tool, you can begin transferring your Toolkit materials into your UVaCollab My Workspace Resources folder.
Step 2: Create Your Course Site in UVaCollab
Instructors of record can create course sites with class rosters in UVaCollab as follows:
- From the My Workspace site menubar, select Worksite Setup.
- At the top of the Worksite Setup page, click New.
- Under “Creating a new site”, click the radio button next to course worksite. You’ll also need to choose the appropriate “Academic term:” from the drop-down list. Then click Continue.
- Under “Creating a New Class Site”, select the course sections to be included in the course site by checking the appropriate boxes. Then click Continue.
- Under “Class Information”, you have the option of typing
a long and/or short description of your site.
- The long description will appear on your site’s home page to members.
- The short description will appear in the public list of all UVaCollab sites on the system.
- Click Continue.
- Under “Tools,” click Continue at the
bottom of the screen to accept the default
set of tools that are pre-selected.
- If you want to manually select your site’s tools, check and uncheck the boxes next to the tools you want on your site, and then click the Continue button.
- Under “Set Site Access > Site Status,” uncheck Publish

prevent student access to your course site until you’re ready for them to see it.
- Tip: Remember to go back and publish your site when it’s time! When you are ready to publish your site, do so through Site Info > Manage Access.
- Under “Set Site Access > Global Access,” leave Private as the default if you would like to prevent a listing in the public Sites directory. Then click Continue.
- Under “Confirm Your Site Setup”, review your site information.
- If changes are required, click the Back button and make them.
- If the information is correct, click the Create Site button to create your site.
- Use the site navigation bar across the top of UVaCollab to access your course site and continue with site setup.

Default Site Tools in UVaCollab
By default, some tools are pre-selected for inclusion in new course sites. After site creation, you can go back and change or add to the available set of tools for your course in Site Info > Edit Tools. The pre-selected default tools are:
- Home
- Displays the course description and recent announcements.
- Announcements
- For posting time-critical announcements to your class.
- Assignments
- For posting assignments for student submission.
- Discussion & Private Messages
- Full-featured discussion tool.
- Email Archive
- Course mailing list and archive of messages sent to the course address.
- Gradebook
- For recording and calculating final grades.
- Resources
- Corresponds to Materials in Toolkit.
- Roster
- Displays names and pictures of students enrolled in each roster added to your site.
- Schedule
- A calendar feature for posting deadlines and events.
- Syllabus
- For posting the course syllabus.
- Site Info
- For many site setup and management tasks.
Step 3: Migrate Materials from Toolkit to My Workspace in UVaCollab
Storage Quota
Before you begin, know that the maximum available storage space in My Workspace on UVaCollab is 2 GB. You may need to remove unneeded files from your Toolkit class site in order to stay within the Collab available space quota before you complete the steps that follow.
Moving Materials from Toolkit to Collab
- Browse to the Toolkit site and login.
- Select the Toolkit course from which materials will be migrated.
- Click Materials on the Instructor Tools screen.
- Note: To review the materials before transferring them, click on the Student View button. Then use the Instructor Tools button to return to the Materials menu.
- Click the option to Copy class materials to UVaCollab.
- Log in through NetBadge to initiate the transfer of materials from Toolkit to your UVaCollab MyWorkspace Resources. Depending on the number and size of the files you are transferring, this process may take several minutes to complete.
- When the transfer is finished, you will be returned to the Instructor Tools screen and should see a message indicating that the materials were copied to your UVaCollab My Workspace > Resources > Toolkit folder.

Step 4: Copy/Move Materials from My Workspace to Your Course Site in UVaCollab
Be sure you have already created your UVaCollab course site (as outlined in Step 2, above) before continuing.
- Return to UVaCollab and log in.
- Select Resources in the My Workspace menubar.
- Click the link to Show other sites just below the list of folders and files in your My Workspace Resources. This action will display the Resources folders of all your UVaCollab worksites.
- In My Workspace Resources, locate the Toolkit folder that contains the materials transferred from your Toolkit class home page.
- Click the plus (+) sign on the Toolkit folder

expand the contents of the folder. - Locate the folder containing your course materials (e.g., UVa_CLAS_2009_Fall_ENWR101-1) within the Toolkit folder.
- Hover over the Actions button next to the appropriate materials folder and choose Copy or Move.
- Scroll down to the list of other sites to locate the Resources folder
for your course site, then click the Paste button
next to the course folder to add the materials into your course site.
- Note: If for some reason you need to cancel the copy/move operation, click the reset button
next
to the Resources tool title at the top of the screen.

Step 5: Navigate to Your UVaCollab Course Site
After copying/moving course materials into your UVaCollab course site as discussed above, click the site tab at the top of UVaCollab to access your course site (also see the My Active Sites tab for a complete list of your active sites) and continue setting up your site.
If you want to add or change from the default set of tools that are pre-selected for your site, go to Site Info > Edit Tools.
