DCS Advisory Group Meeting Summary

Terry talked about the ITC budget process and gave out a list of all of the proposed projects. The projects total $3.9 million. ITC has about $1.0 million to fund them. DCS is requesting 2.0 FTE positions, one of which will focus on DCI-related projects. ITC Directors will review many of the proposed projects at a meeting 1/27 at 2:30 in the South Meeting Room. Advisory Group members are welcomed to attend. Advisory Group members are encouraged to rank the projects in order of importance. Please send your rankings to Terry.
2. Assessments/Evaluations in the Wake of DCI
It's important that all departments participating in DCI think about the total cost of ownership with regard to technology. ITC can develop some tools that will cause departments and those at the VP level to think about things such as:
Tools for individual users can help them think about where their data is stored and what special applications they have that need to be migrated to the new machines.
These types of tools (which could be a short series of questions) are not meant to be a hindrance or cumbersome. They are meant to increase awareness, to stimulate planning, and to decrease the downtime individuals will experience when migrating to the new machines.
It was suggested that departments could be encouraged to use these tools when they place their order for DCI equipment. ITC can develop these tools. It is possible that the DCI vendor/implementation vendor will require some of this info as well.
Darden and Commerce recently put new machines on all faculty desks. They conducted pre- and post-installation interviews with each faculty member to insure the transition to the new machine went as smoothly as possible. Darden staff estimate they spent approximately 8 hours per faculty member interviewing and installing the machines. They had 5 technical staff installing the 100 machines.
Terry, Sue Ellen and Nancy will draft a proposal that the advisory group can send up to UCIT. The draft will be circulated to the DCS advisory group for input and comments.
The RFP is scheduled to go out on Friday 1/29. An RFP review committee has been formed. Terry will send out the time line for the RFP as well as a list of members on the RFP review committee. There are at least 2 sub-committees of that committee. Proposals are due in mid-March.
There will be a pre-bid conference. Terry will update us on the proposals at our April 8th meeting.
UCIT is still working on the University's strategic plan for computing at the University. The plan will include a proposal for Chief Technology Officers at the school level for each school.
