Service Guidelines for Email/Calendar


Mailbox Size

The size limit for Office 365 mailboxes is 100 Gigabytes (GB). This encompasses all mail within the mailbox, including mail stored in the Sent mail folder, personal folders, and attachments.

Message Size

The maximum size of an incoming or outgoing email message (including attachments) is 25 Megabytes (MB). You will receive a warning if you exceed this amount. This limit is in line with those set by other email providers including Gmail, Yahoo, and Hotmail. Any user who needs to share a larger document should consider using UVACollab, SharePoint, UVA Box or OneDrive (available in 2018).

Outlook Software Only

Microsoft Outlook is the only ITS supported email program.

Regularly Scheduled Downtime

If necessary, there is a regularly scheduled weekly (Thursdays, 10:00 PM - 2:00 AM) and monthly (the 4th Sunday, 6:00 - 10:00 AM) downtime to make service improvements. Service may be interrupted and/or unavailable to users during these times. Announcements will be made in advance on our Service Status page.

Mobile Device Connections

The "Microsoft Outlook" mobile app is the only UVA-supported way to access your mail on a mobile device.

Email Restore Requests

If you are missing emails, please check your Restore Deleted Items folder. You can use "Recover deleted items" to recover things that were deleted for up to 30 days.

Others Accessing Your Email

No one should access your email unless given permission by you or approval has been given according to UVA Policies. The Microsoft and ITS engineers have permission to access your account on a troubleshooting basis when trouble calls are placed with the Help Desk, when a problem is reported, or a request is made through UVA policies. Other access should be given by you through permissions to your folders within the Outlook software.
