Outlook 2003 Recommended Configurations
For maximum functionality for you as you use UVa's centralized Exchange server, ITC recommends the following configurations. You may want to consult with the computer support professionals in your department to see if there are additional departmental settings that are required.
- Recommended setting: Configure Outlook 2003 to use the UVa LDAP Directory for some searches.
- From the Tools drop-down menu, select Email Accounts…
- Select the Add new directory or address book radio button.
- Click the Next > button.
- Select the Internet Directory Service (LDAP) radio button.
- In the Server Name: field, type ldap.virginia.edu
- Click the More Settings… button.
- Click the OK button on the Add E-mail Account pop-up window.
- Click the Search tab.
- In the Search base : field, type o=University of Virginia, c=US
- Click the Apply button.
- Click the OK button.
- Click the Next > button.
- Click the Finish button.
- Recommended setting: Avoid seeing responses to meetings you organize, but be able to know who is attending.
Before doing this setting, you may want to see the Meeting Request FAQ.
- From the Tools drop-down menu, select Options.
- On the Preferences tab, click the Calendar Options button.
- Click the Resource Scheduling button.
- Check the Automatically accept meeting requests and process cancellations box.
- Click the OK button.
- Click the OK button.
- Click the OK button.
- Recommended setting: Allow other people to see your calendar for a year in advance.
- From the Tools drop-down menu, select Options.
- On the Preferences tab, click the Calendar Options button.
- Click the Free/Busy Options… button.
- In the box in Publish months of Calendar free/busy information on the server, type: 12.
- In the box in Update free/busy information on the server every minutes, type: 15.
- Click the OK button.
- Click the OK button.
- Click the OK button.
- Recommended setting: Allow other people to see your Free/Busy times.
Outlook 2003 shows your Free/Busy times to other people by default.
- Recommended setting: Verify your Time Zone is set correctly.
- From the Tools drop-down menu, select Options.
- On the Preferences tab, click the Calendar Options button.
- Click the Time Zone… button.
- From the Time Zone… drop-down, select (GMT -0500) Eastern Time (US & Canada) .
- Click the OK button.
- Click the OK button.
- Click the OK button.
- Recommended setting: Disable automatic reminders for all meeting invitees.
- From the Tools drop-down menu, select Options.
- On the Preferences tab, clear the Default Reminder box.
- Click the OK button.
- Recommended setting: Set Send/Receive options correctly.
- From the Tools drop-down menu, select Options.
- On the Mail Setup tab, click the Send/Receive… button.
- In Setting for group "All Accounts"
- Check the box beside Include this group in send/Receive (F9).
- Check the box beside Schedule an automatic send every minutes.
- In the box in Schedule an automatic send every minutes., type 30.
- Check the box beside Perform an automatic send/receive when exiting.
- In When Outlook is offline, check the box beside Include this group in send/receive (F9).
- Click the Close button.
- Click the OK button.
- Recommended setting: Turn auto-archiving off.
- From the Tools drop-down menu, select Options.
- On the Other tab, click the AutoArchive… button.
- Clear the Run AutoArchive every days box.
- Click the OK button.
- Click the OK button.
