To archive your Oracle Calendar (CorporateTime) entries, you can copy them from the online server to an offline agenda on your personal computer, which you can then access for historical reference:
- Create an offline, local version of your Oracle Calendar agenda, then
- Prevent future appointments from being scheduled on your Oracle Calendar.
Optionally, you may want to change your offline agenda's password so your online and offline passwords are synchronized, and remember these things to keep in mind when working offline in Oracle Calendar.
Create an Offline Agenda on a PC
- Open the Oracle Calendar application and log in as you normally do.
- On the Tools Menu, select Options.
- Click on the plus sign (+) beside the word Offline in the lefthand column.
- Select Download.
- Note: You have the option under Downloads to specify a range of data you would like to download, or you can select the All Entries option. If you would like to have an archive of all of the information you have in Oracle Calendar, then you should select All Entries. In that case, the actual download can take some time.
- Click OK once you have made your selection.
- On the File menu, select Download to Local File. If you have opted for All Entries, this can also take awhile.
- To verify that all of your selected entries have been downloaded, open the File menu again and select Work Offline. You will now see the local, offline version of what was on the server online.
- To return to the online, server version of your Calendar, select Work Online from the File menu.
- Note: Be aware that from now on, any changes that you make while working online will not be updated in the local, offline copy of your calendar.
ITC recommends you also export a file from Oracle Calendar into Exchange that contains the online version of your calendar. Otherwise, if the Oracle Calendar software is removed from your computer, the offline agenda you've created may no longer be accessible.
Prevent Future Appointments on Your Oracle Calendar
Once you have made the change from Oracle Calendar (CorporateTime) to Exchange, you should prevent others from entering additional meetings for you into Oracle. That can be done in two ways:
- Method 1: Make an appointment in your Oracle Calendar agenda that indicates you have switched to using Exchange,
and you should not be scheduled for appointments in Oracle Calendar. This will only be necessary until January 15, 2008, when
Oracle Calendar is no longer available at UVa. This method is useful if you still need to keep both calendaring systems alive during the
transition period while your colleagues migrate to Exchange.
- Note: This method will not prevent people from inviting you to events, nor will it stop your delegates (if you have any) from putting items on your calendar.
- Method 2: Take away all permissions for people to view your Oracle Calendar or invite you to events.
- Note: This approach will prevent those that do not have access to Exchange from being informed about your participation in shared events.
To remove Oracle Calendar permissions as described:
- On the Tools menu, choose Access Rights.
- Remove all Designate permissions.
- Remove Viewing permissions.
- Remove Viewing Tasks permissions.
- On the Scheduling tab, do not allow default persons to invite you to entries.
- Note: This approach will prevent those that do not have access to Exchange from being informed about your participation in shared events.

Change Your Offline Password
If you have changed your Oracle Calendar (CorporateTime) online server password and also have an offline agenda, you may want to synchronize the passwords. To do so, log into Oracle Calendar in Offline mode to change the password.
- When the login window appears, use the Connect to drop-down menu to select Offline.
- Enter your username and current offline password to login to your offline agenda.
- On the Tools menu, select Change Password.
- Enter your current offline password, then your new password. When prompted, re-enter the new password.
- Click OK and exit your offline agenda.
When you next log into your Oracle Calendar server account, the online and offline passwords will be synchronized.
Things to Keep in Mind When Working Offline in Oracle Calendar
- On shared computers: When a second user attempts to log into Oracle Calendar on a Windows machine, a dialog box is displayed prompting the user to select another location for his/her offline agenda. The original user's offline files—Xtmlocal.dat, Xtmlocal.ndx, Xtmparam, and Xtmzone—are stored in C:\Windows\. The second user and each subsequent user can create a folder for their files in C:\Windows\. All users will need to remember the path to their offline files. The original user can maintain his/her files in C:\Windows\ or create a folder for them. If you are logging into Oracle Calendar following another user, you will be prompted to create or identify your location for offline files. If only one person uses Oracle Calendar on a machine, there are no prompts for a storage location. The files will always be rewritten to C:\Windows\.
- Known bug: When you log into Oracle Calendar (CorporateTime), you may be prompted to enter an offline password, and then not have your login accepted. If that happens, follow our instructions for eliminating the error. Note, however, that if you or any other user of your computer has an offline agenda, these instructions will delete them. In that case, each user will have to create another offline agenda.
