To archive your Oracle Calendar (CorporateTime) entries, you can copy them from the online server to an offline agenda on your personal computer, which you can then access for historical reference:
- Create an offline, local version of your Oracle Calenda agenda, then
- Prevent future appointments from being scheduled on your Oracle Calendar.
Optionally, you may want to change your offline agenda's password so your online and offline passwords are synchronized, and remember these things to keep in mind when working offline in Oracle Calendar.
Create an Offline Agenda on a Mac
- Open the Oracle Calendar application and log in as you normally do.
- On the Oracle Calendar menu, select Preferences.
- Click on Offline in the lefthand column.
- Select Download.
- Note: You have the option under Downloads to specify a range of data you would like to download, or you can select the All Entries option. If you would like to have an archive of all of the information you have in Oracle Calendar, then you should select All Entries. In that case, the actual download can take some time.
- Click OK once you have made your selection.
- On the File menu, select Download to Local File. If you have opted for All Entries, this can also take awhile.
- To verify that all of your selected entries have been downloaded, open the File menu again and select Work Offline. You will now see the local, offline version of what was on the server online.
- To return to the online, server version of your Calendar, select Work Online from the File menu.
- Note: Be aware that from now on, any changes that you make while working online will not be updated in the local, offline copy of your calendar.
ITC recommends you also export a file from Oracle Calendar into Exchange that contains the online version of your calendar. Otherwise, if the Oracle Calendar software is removed from your computer, the offline agenda you've created may no longer be accessible.
Prevent Future Appointments on Your Oracle Calendar
Once you have made the change from Oracle Calendar (CorporateTime) to Exchange, you should prevent others from entering additional meetings for you into Oracle. That can be done in two ways:
- Method 1: Make an appointment in your Oracle Calendar agenda that indicates you have switched to using Exchange,
and you should not be scheduled for appointments in Oracle Calendar. This will only be necessary until January 15, 2008, when
Oracle Calendar is no longer available at UVa.
This method is useful if you still need to keep both calendaring
systems alive during the transition period while your colleagues migrate to Exchange.
- Note: This method will not prevent people from inviting you to events, nor will it stop your delegates (if you have any) from putting items on your calendar.
- Method 2: Take away all permissions for people to view your Oracle Calendar or invite you to events.
- Note: This approach will prevent those that do not have access to Exchange from being informed about your participation in shared events.
To remove Oracle Calendar permissions as described:
- On the Tools menu, choose Access Rights.
- Remove all Designate permissions.
- Remove Viewing permissions.
- Remove Viewing Tasks permissions.
- On the Scheduling tab, do not allow default persons to invite you to entries.
- Note: This approach will prevent those that do not have access to Exchange from being informed about your participation in shared events.

Change Your Offline Password
If you have changed your Oracle Calendar (CorporateTime) online server password and also have an offline agenda, you may want to synchronize the passwords. To do so, log into Oracle Calendar in Offline mode to change the password.
- When the login window appears, use the Connect to drop-down menu to select Offline.
- Enter your Profile name and current offline password to access your offline agenda.
- Note: If you are not sure of your Profile name, enter what you think it is, along with the password. If you have chosen the wrong name, an error message will appear telling you how the Offline agenda is saved. Use the information provided in the error message to log in.
- On the Tools menu, select Change Password.
- When prompted, enter your old password, then your new password. Re-enter the new password when asked.
- Note: A Password Reconciliation window may appear. In that event, select the option Replace online with offline in order to keep the passwords the same.
- Click OK and exit your offline agenda.
Things to Keep in Mind When Working Offline in Oracle Calendar
- On shared computers: By default, when an offline agenda is created on a Macintosh, four files—Oracle Calendar Data, Oracle Calendar Time Zones, Oracle Calendar Index, and Oracle Calendar Params—are stored in the main Oracle Calendar folder. On Macs that are shared by multiple users, any additional user who creates an offline agenda after the first has done so will be prompted to make subfolders to hold their offline files.
- Known bug: When you log into Oracle Calendar (CorporateTime), you may receive an error message saying your offline password does not match your online password. To eliminate the error, you must delete the following folders: Username > Documents > Oracle Calendar User Data and Username > Library > Preferences > Oracle Calendar Prefs. Deleting these folders will delete your offline agenda, and you will need to create a new one.
