Import Oracle Calendar Data to Entourage 2004

[Sep 04, 2008 18:43] Emergency downtime - Central Exchange Service mailstore 3 is experiencing a problem and must be taken offline. Time-to-resolution is not yet known. ITC is working to resolve the problem.

[Sep 04, 2008 17:32] Access to ITC ESERVICES Exchange Mailstore 7 will be intermittent for the next 2-4 hours as we check to make sure the mailstore remounted correctly.

To migrate your Oracle Calendar (CorporateTime) entries to Microsoft Entourage for the Mac:

  1. Export your Oracle Calendar entries into a data file, then
  2. Import the file into Entourage 2004.

Optionally, you may then want to tweak your Entourage calendar entries, as Exchange treats some items differently.

Export Your Oracle Calendar Data

  1. Sign in to your Oracle Calendar.
  2. Click the File menu, choose Export Data...
  3. Choose vCalendar file.
    • Note: If you choose iCalendar, your tasks won't export.
  4. Click OK.
  5. Select the amount of data you would like to export. You can choose All Entries, or a range either by date (From/To) or period (Previous day/week/month/year).
  6. Be sure that the calendar selected is the correct one to export.
  7. Click OK.
  8. In the next window, specify a location where you would like the export file to be saved.
    • Note: Make sure you remember where this file is located, because you will have to find it again when you import the file into Exchange. Your computer's desktop is the easiest place to find the file. You may also modify the file name, but keep .vcs at the end of the file name.
  9. Click Save.

Import Your Oracle Calendar Data into Entourage 2004's Calendar

  1. Open Entourage 2004, and sign in if necessary.
  2. Click on Calendar.
  3. From the File menu, choose Import.
  4. In the Import window, select Import messages from a text file.
  5. Click the right arrow at the bottom of the window to continue.
  6. In the Choose a File Type window, select Import messages from an MBOX-format text file.
  7. Click the right arrow at the bottom of the window to continue.
  8. Browse to the location where you saved the export file from Oracle Calendar.
  9. Once you locate the file, click on it to select, and click Import.
  10. Click Finish.

Tweak Your Entourage Calendar Entries

Now that you have imported your Oracle Calendar (CorporateTime) entries in Entourage 2004, you may want to tweak certain items that your Entourage calendar treats differently.

  • Daily Notes and Day Events - In Entourage, these appear with a start time around 12:00 am on the scheduled date instead of a "note" for the day, as in Oracle Calendar.
    • Fix: Open the calendar entry and manually change it. Check the All day event checkbox, then click Save and Close. Or, change each appointment's time from midnight to the correct start and end times.
  • Recurring appointments - The import process “breaks” them, so they are no longer linked together in Exchange. Entourage treats recurring meetings as individual appointments.
    • Fix: You can either leave them un-linked, or re-create the recurring meetings in Exchange.
  • Attendee information - The names of others invited to meetings will not transfer when importing into Exchange.
    • Fix: You can either leave the meeting as is, without information about others who are invited, or for meetings in the future, you can re-create the appointment in Exchange and invite others to join you.
  • Notes - Notes about appointments in Oracle Calendar will not transfer to Exchange.
    • Fix: Import these into a spreadsheet format to keep for future reference, if you need an archive.
