Do It Yourself: Manually Move Yourself to Exchange

Disclaimer

We recommend that you use the email migration tool to move from the Central Mail Service (CMS) to the UVa centralized Exchange server, but if you want to do-it-yourself (DIY) rather than automating the process using the email migration tool, you can.

Before Manually Moving Yourself to Exchange

IMPORTANT: Before beginning your email migration:

  1. Check with your department's LSP, if you have one, before migrating your email account.
  2. Remove any auto-forwards you already have in place. If you have it set so that Exchange forwards email to your Central Mail Service (CMS) account, and you do not remove that before changing your email registration and CMS auto-forward, you can cause the CMS to start forwarding email to the Exchange server, and the Exchange server to forward it right back. This will cause a loop and lose your emails in cyberspace. To remove an existing Exchange server forward:
    1. Go to the Eservices Management Website and log in through NetBadge.
    2. Click Account Management.
    3. Click Exchange Account Tools.
    4. Click Personal Exchange Account Management Tools.
    5. Scroll down to Remove Your Previously Set Up Forwarding Here and click the Remove Forwarding button.
    6. Log out.
  3. Delete any unwanted messages in your CMS email account (including in your UVa-potential-spam folder), then empty your trash. In some mail programs, such as Outlook, you will then have to "Purge Deleted Messages" for your unwanted emails to really go away. Taking the time to delete any messages will make your mailbox smaller and therefore help your migration go faster, and prevent your new Exchange mailbox from being cluttered up with junk mail.

Steps to DIY: Manually Move Yourself to Exchange

The steps outlined below will allow you to manually complete the steps that the email migration tool would do automatically.

  1. Register Exchange as your primary account:
    1. Go to the UVa email registration page.
    2. Change your registered email address to the UVa centralized Exchange server by selecting the radio button beside Eservices (Central Exchange Service).
    3. Click the Submit button.
  2. Delete your CMS mail filtering (server-side) rules:
    1. Go to the CMS WebMail interface and log in.
    2. Click on the Settings tab.
    3. Click Server Side Rules.
    4. Delete the rules.
  3. Forward all email sent to your CMS address (e.g., mst3k@virginia.edu or to mike@virginia.edu) to your new Exchange mailbox. To create an auto-forward:
    1. Go to the CMS WebMail interface and log in.
    2. Click the Settings tab.
    3. Click Forwarding.
    4. Select Enabled from the Forwarding is currently: drop-down menu.
    5. In the Your forward is currently set to: field, type: Your UVa Computing ID@eservices.virginia.edu For example: mst3k@eservices.virginia.edu
    6. Click the Update button.
  4. Copy your Central Mail Service (CMS) email and folders, including your Inbox, to the Exchange server:
    1. Make an IMAP connection to the CMS and to the UVa centralized Exchange server from Outlook.
    2. Drag-and-drop to move your folders from the CMS to Exchange.
