How to install and configure Outlook Express to read CMS mail.

Before you install and configure Microsoft Outlook Express, please be informed that ITC recommends Mulberry, which requires no configuration since we distribute it preconfigured. The summer of 2001, we will similarly be offering Mulberry, another Email program which we will distribute preconfigured. Both of these preferred Email programs offer the advantage of a centralized saving of your settings, so you can go to a new computer at any time and your settings in Simeon or Mulberry will be the same as they were when you work at your usual PC. Outlook Express does not support this feature at this time.

Assuming you have a specific reason for preferring Outlook Express, Microsoft makes installing Outlook Express so easy that the majority of Windows users already have it, whether they know it or not. It comes installed on most systems, and if you don't have it installed, you can run Windows Update from the Start menu in Windows 98, Windows ME or Windows 2000, you'll find Outlook Express on the menu of available software to download.

Many people get confused about the difference between Outlook and Outlook Express. They are very similar and one comes with Internet Explorer while the other comes with MS Office. They both read Email, and though Outlook has a calendar and other features, only Outlook Express will read NEWS lists. If you try to read NEWS lists from within Outlook, it will load and run Outlook Express for you.

Your first screen has Outlook Express in the title bar and should look like:

Above the center of the Outlook Express opening screen is a hyperlink labeled 'Set up a Mail account...'.

From that first screen, If you want to set up Outlook Express for reading NEWS groups, see our instructions on setting up Outlook Express for NEWS groups. If you want to set up Outlook Express for Email, click on Set up a mail account... on your Outlook Express opening screen.

If you don't see this on your opening screen, you may already have set up another Email account for some other mail system. You should then open up the Tools menu and choose Accounts.... Click on the Mail tab at the top of this dialog box to see the list of Email accounts you have set up for Outlook Express. If you are no longer using these older accounts, you can delete them and when you return to the opening screen, the Set up a mail account... prompt will return. Click it.

If you wish to keep the old accounts, then click the Add button at the top right of this dialog box.

No matter which of the above steps you've taken, at this point, you should see the following dialog box entitled Internet Connection Wizard / Setting up Internet Mail:

This dialog box has the title 'Internet Connection Wizard' and subtitle Setting up Internet Mail'. It gives you the choice between 'Create a new Internet mail account' or 'use existing Internet mail account'.

If you already have an existing Eudora or Outlook application set up for your Email, Outlook Express will offer to use that existing configuration information on this dialog box. You should then be done configuring Outlook Express.

If you do not have an existing, functional set up for one of these programs, you should choose the first option here: Use an existing Internet mail account. Click Next.

This brings up the dialog box that asks for your name.

Type in your name, not your account name. This is your name as you'd like people to see it in their message headers when they receive mail from you. Click Next.

This brings up the dialog box that asks for your Email address.

This is asking for your Email address as you wish people to spell it when they are replying to your mail. For most of us, that is your registered Email address, or the short version of your address, usually consisting of your University Computing ID followed by @virginia.edu. Click Next.

This brings up the dialog box that asks for the names of your Email servers for incoming and outgoing messages.

First, you have to choose the protocol used by your incoming Email server. While we support both IMAP and POP, we definitely recommend IMAP. It is more reliable and technically superior, especially for people who check their mail from more than one computer. Choose IMAP from the drop down list on this dialog box, then enter the name of your server for Email. For most people at UVa, that will be the first letter of your Email ID followed by .mail.virginia.edu, so if, for example, your Email ID were mst3k, then this server name would be m.mail.virginia.edu.

Another name for this same server is cms.mail.virginia.edu.

Our IMAP servers also act as SMTP servers, so you can put in the same server name for sending mail as for receiving it. Click Next. This brings up the dialog box that asks about your ID and password.

Where it asks for Account Name, put your University Computing ID. This is the part of your Email address before the character @.

We heavily discourage you from putting your password in at this point. Do not allow there to be a check mark in the option box marked Remember password. This makes your system overly vulnerable to anyone walking up and reading your Email without needing to know your password.

You also should not have a check mark in the option box labeled Log on using Secure Password Authentication (SPA>.

Click Next. The next dialog box simply announces that you have successfully configured Microsoft Outlook Express to set up your account. Click Finish.
